Reconcile the vehicle with the accepted offer
Check that the identification and specification in the final records correspond to the candidate that was accepted. Include seating, condition description and relevant production information. If a replacement is proposed, assess it as a different candidate and update the evidence. The quotation guide helps establish a sufficiently clear starting record so a last-minute description cannot quietly replace the agreed requirements.
Close inspection and preparation items
Review outstanding findings, agreed repairs and the evidence of completion. Where a recheck was part of acceptance, retain its result with the original inspection. Record remaining limitations rather than removing them from the file. New vehicles also need the agreed status and pre-delivery information. A final exterior photograph should supplement the condition record, not replace the checks the buyer specifically requested.
Count keys and loose equipment
List the keys, charging equipment and accessories included in the accepted scope. Use descriptions and photographs that distinguish similar items. Check condition and note any agreed missing or separately supplied equipment. The accessory guide provides an itemised approach for roof equipment and other additions. Keep loose-item records together with the vehicle documentation so responsibility remains clear if different parties handle preparation and delivery.
Record software and account arrangements
Retain evidence of essential functions demonstrated before acceptance and clarify legitimate account removal or transfer steps with the relevant parties. Do not include personal passwords in a shared handover file. Identify any feature still dependent on destination setup or support. Refer to the software and service checklist when distinguishing on-car functions from connected services that have separate access requirements.
Agree delivery evidence and responsibilities
Confirm which party supplies each agreed document and how final condition and item records will be shared. Preparation and carriage requirements should be confirmed with the parties handling the vehicle, using the relevant instructions and accepted scope. Do not treat a general checklist as a destination-specific document guarantee. Identify missing information early enough for the importer and service providers to resolve it before the planned handover.
Keep a usable record after receipt
Preserve the accepted offer, vehicle details, inspection records, photographs and included-item list under a common reference. Record any discrepancy promptly through the agreed channel, with evidence and a clear description. Identify who handles follow-up questions and what support was actually agreed. An organised file helps the dealer explain the car to the end customer and address a specific issue without relying on memory or a broad assurance.
